For photographers using Focus Flow, we act as a data processor when handling their clients' data. The photographer (our user) is the data controller for their clients.

Data We Collect

Information You Provide

  • Account Information: Name, email address, password (encrypted), profile picture
  • Business Information: Business name, address, phone number, tax ID, bank details (for payments)
  • Client Data: Names, email addresses, phone numbers, addresses (managed by photographers)
  • Project Data: Appointments, contracts, invoices, galleries, messages
  • Payment Information: Processed securely by Stripe (we don't store card numbers)

Information Collected Automatically

  • Usage Data: Pages visited, features used, session duration
  • Device Information: Browser type, operating system, IP address
  • Cookies: Essential cookies for functionality, optional analytics cookies (with consent)

Google Integrations

Focus Flow integrates with Google services to enhance productivity for photographers. These integrations are optional and require your explicit consent via Google's OAuth consent screen.

Google API Services User Data Policy — Limited Use Disclosure

Focus Flow Studio's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

In particular, Focus Flow Studio affirms that data obtained through Google Workspace APIs (including Gmail and Google Calendar) is used only to provide or improve user-facing features that are prominent in the Focus Flow application, and is not used for any of the following prohibited purposes:

  • We do not transfer or sell Google user data to third parties such as advertising platforms, data brokers, or any information resellers.
  • We do not use Google user data to serve advertisements, including retargeted, personalized, or interest-based advertising.
  • We do not use Google user data to determine credit-worthiness or for any lending purposes.
  • We do not allow humans to read Google user data, except: (a) with your explicit consent for a specific message; (b) where necessary for security purposes (e.g. investigating abuse); (c) to comply with applicable law; or (d) where the data has been aggregated and anonymized for internal operations.
  • We do not use Google user data, or data derived from it, to develop, improve, or train any generalized or non-personalized AI / machine learning models. Where Focus Flow uses AI features (e.g. our "Flowy" assistant), such features operate only on data the user explicitly provides in-app and never on raw Gmail or Calendar content fetched from Google APIs.

This Limited Use disclosure applies to gmail.send, calendar.events, calendar.readonly, and userinfo.email scopes that Focus Flow Studio requests through Google OAuth. You can revoke these permissions at any time from your Google Account permissions page or from your Focus Flow settings.

Google Sign-In (Authentication)

We use Google Sign-In to allow you to log in with your Google account. We access only your email address and basic profile information (name, profile picture) to create and manage your Focus Flow account. We do not access any other Google account data through sign-in.

Google Calendar Integration

When you connect Google Calendar, Focus Flow accesses your calendar to:

  • Display your existing events to check availability and prevent scheduling conflicts
  • Sync Focus Flow events (photo shoots, meetings, deadlines) to your Google Calendar

We read event times and titles to show availability. We only create or modify events that you explicitly trigger through Focus Flow. We do not delete, share, or store your Google Calendar data beyond what is displayed in the app.

Gmail Integration (Send Only)

When you connect Gmail, Focus Flow uses the gmail.send scope exclusively to send emails from your Gmail address to your clients (booking confirmations, payment reminders, gallery access links). This ensures clients recognize your email and communications don't end up in spam.

Important: We never read, access, scan, or store your inbox, drafts, contacts, or any existing Gmail messages. We only send emails that you explicitly compose and authorize within Focus Flow.

Data Handling for Google Integrations

  • OAuth tokens are encrypted and stored securely in our database
  • Calendar data is fetched in real-time and not permanently stored
  • Email metadata (recipient, subject, timestamp) is logged for delivery tracking only
  • No Google data is shared with any third party
  • You can disconnect Google integrations at any time from your Focus Flow settings, which revokes all access

International Data Transfers

Your data is primarily stored in the European Union (Supabase Frankfurt, Backblaze EU).

When data is transferred to the United States (e.g., Stripe, Vercel), we ensure compliance through:

  • EU-U.S. Data Privacy Framework certification
  • Standard Contractual Clauses (SCCs)
  • Data Processing Agreements with all providers
